Campaigns

Create, configure, and manage your email outreach campaigns.

Campaign Overview

Campaigns are the core unit of email outreach in LeadTrain. Each campaign contains an email sequence made up of ordered steps, a pool of sending mailboxes, and a list of prospects who will receive the emails. Campaigns run automatically once activated, sending each prospect through the email sequence at the configured pace.

Creating a Campaign

There are two ways to create a campaign. Manual creation lets you specify the campaign name, timezone, send window (for example, 9 AM to 5 PM), and active send days with Monday through Friday as the default. AI generation lets you describe your campaign goal in natural language (minimum 20 characters) and produces a full campaign with five to seven email steps automatically. AI generation consumes credits from your account balance.

Campaign Statuses

Campaigns progress through several statuses. Draft means the campaign is not yet sending and can still be fully edited. Active means emails are being sent to prospects on schedule. Paused means sending is temporarily stopped but can be resumed at any time. Completed means all prospects have finished the entire email sequence. Archived hides the campaign from your active list while preserving all data.

Campaign Settings

Configure your campaign's timezone, send window start and end times, active send days, and daily email limit. Enable auto-pause on bounce with a default threshold of 5 percent or on complaint with a default threshold of 0.1 percent. For tracking, choose an open tracking mode (pixel, avatar image, both, or none), enable or disable click tracking, and adjust bot filtering with low, medium, or high sensitivity levels to exclude automated clicks from your analytics.

Mailbox Pool

Each campaign uses a pool of mailboxes for sending. When an email needs to be sent, a mailbox is randomly selected from the pool. You can add or remove mailboxes from the pool at any time. When the pool changes, the system automatically recalculates scheduled send times for all pending prospects to account for the updated sending capacity.

Campaign Statistics

The campaign overview displays total prospects broken down by status (active, paused, stopped, completed), along with aggregate counts for emails sent, opens, clicks, replies, and bounces. Rates are calculated automatically as percentages. The email funnel chart visualizes the drop-off from Sent to Delivered to Opened to Replied, helping you identify where prospects disengage.

Recalculating Send Times

Use the Recalculate Send Times action to reschedule prospects that could send earlier based on your current send window and mailbox availability. This is especially useful after changing campaign settings, adjusting the send window, or adding new mailboxes to the pool. Recalculation ensures you are making full use of your available sending capacity.
